Qualifications and Experience
Essential Requirements
- Diploma in Secretarial Studies or Business Administration.
- Good working knowledge of Microsoft Office applications, including Excel, Word and PowerPoint, as well as Microsoft 365, Zoom and Microsoft Teams.
Desirable
- Experience using Artificial Intelligence (AI) tools such as ChatGPT, Claude AI or similar applications will be considered an advantage.
Skills and Competencies
- Excellent written and verbal communication skills in English, French and Creole.
- Strong interpersonal, organisational and time management skills.
- Ability to work independently and collaboratively as part of a team.
- Good problem-solving and analytical skills.
- Proficiency in relevant computer applications.
- A sound understanding of professional protocol and diplomacy.
- Experience in organising meetings, workshops and other events.

JOB DESCRIPTION
ORGANIZATION: Seychelles Institute of Agriculture and Horticulture
POST TITLE: Office Assistant
REPORTS TO: Director
PURPOSE OF THE POSITION
The Office Assistant is responsible for organizing and coordinating administrative operations and procedures in order to ensure organizational effectiveness and efficiency. Assist the Director in his/her daily duties.
He/She must demonstrate a good pattern of punctuality, ability to organize and work effectively without constant supervision, must be accurate, able to maintain high level of discretion and confidentiality and must interact well with other clients.
RESPONSIBILITIES
- Receiving and advising telephone and personal callers. Interviewing them on the nature of their business, conveying answers where applicable, routing calls, and relaying messages to appropriate staff members. Scheduling appointment.
- Typing and filing correspondences.
- Taking and transcribing of minutes of meeting.
- Answering routing correspondence.
- Receiving and greeting public/visitors and referring them to appropriate staff members.
- Organising meetings, workshops and other events as requested.
- Assist staff with administrative duties as requested.
- Sorting out incoming mails and outgoing mails.
- Keeping records of file movement.
- Making photocopies and operating other office equipment whenever required.
- Designing and maintaining a proper filing system for proper file movements.
- Other related duties as assigned.
QUALIFICATIONS/EXPERIENCE
Advanced Diploma in Office Management and Administration
or
Diploma in Office Management and Administration/Diploma in Secretarial Studies/Certificate in Office Management (SIM)/Certificate in General Management plus competency certificate in typing or word processing or equivalent
or
IGCSE in English plus at least three international technical modules certificates e.g. Office Procedure, Typing Certificates, Book-Keeping Certificates and four years satisfactory work experience.
or
Certificate in Secretarial/Clerical Studies with no experience will be held against the post.
or
IGCSE in English with a demonstrated capability for undertaking clerical or secretarial work will be held against the post. Additional “O” level/IGCSE French/Delf B1 is desirable.
or
International modules certificates e.g. Office Procedure, Typing Certificates, Book-keeping Certificates and at least 2 years satisfactory work experience.
